If you list on both Airbnb and VRBO (which you should for maximum exposure), you face the risk of two guests booking the same dates on different platforms. A double-booking means cancelling on one guest, which damages your ranking, triggers potential penalties, and creates a terrible experience.

Manual calendar management, where you update one platform after receiving a booking on another, is unreliable. It takes only one forgotten update or a few hours of delay to create a conflict. iCal sync is the free option. Each platform exports an iCal calendar URL that you import into the other platforms. Airbnb and VRBO both support this. Setting Up Your Booking Workflow

A consistent workflow prevents missed steps and ensures every guest gets the same quality experience.

When a booking comes in:

  1. Confirm the booking is synced across all platforms (automatic with a channel manager).
  2. Send a booking confirmation message (automated via your messaging tool or Airbnb scheduled messages).
  3. Schedule the cleaning for the turnover before the new guest's arrival.
  4. Generate a unique smart lock code for the guest's stay dates.

1-2 days before check-in:

  1. Send detailed check-in instructions (address, parking, door code, Wi-Fi).
  2. Confirm cleaning is scheduled and supplies are stocked.

Day of checkout:

Orphan days. Single open nights between bookings are hard to fill. Use your pricing tool to discount orphan days by 20-30%. Alternatively, adjust your minimum stay settings to prevent orphan days from forming (some channel managers have an "orphan day prevention" feature).

Tracking Performance

Review your booking metrics monthly: occupancy rate, average nightly rate, revenue per available night (RevPAN), and average lead time (how far in advance guests book). These four numbers tell you whether your pricing, marketing, and availability settings are working. Most channel managers provide this data in their dashboards.
